Real schedules aren't tidy
Generic calendar tools assume every appointment looks the same. Real service businesses don't work that way. A pet groomer's day swings from a 60-minute trim to a three-hour double-coat groom. Building Calendy for businesses like these taught us to design for the mess, not an idealized calendar.
Variability is the norm, not the exception
When appointment length depends on the service (breed, coat, treatment), a one-size-fits-all slot breaks the whole day. So per-service durations weren't a nice extra; they were core. Each service carries its own length, and the calendar blocks correctly without the owner doing mental math. The same domain-model decision appears in salon software built around real service and team rules.
The owner is already overloaded
In these businesses the owner is often hands-on and constantly interrupted: the phone rings while their hands are full. Software has to take load off, not add it. Self-service booking lets clients book the right service themselves, so the owner isn't the bottleneck.
Keep the business in control of its own clients
A booking page on the business's own link keeps the client relationship theirs, not mediated by a platform. For businesses built on regulars, that ownership matters.
Build for the real environment
These tools run on a tablet or phone in a busy, physical workspace, in the owner's language. Six-language support for South-East Europe was foundational.
If you're building for real-world operations
- Design for variability: it's the norm, not the edge case.
- Take load off the owner; never add steps.
- Keep the business in control of its clients.
- Build for a busy physical workspace, in their language.
